Off-campus use of computer equipment and capital assets

Business Officers, Department Administrators & Research Administrators:

During this unprecedented time where a high number of University employees are working from home, it’s very important that departments adequately monitor & track all computer inventory & capital assets which may temporarily reside in off-campus locations (such as employees’ homes).  As such, I would like to remind you of relevant policies/forms which are listed below. 

  • Policy:  Computer Inventory & Internal Control Policy (non-capital assets):  https://controller.fo.uiowa.edu/computer-inventory-and-internal-control-policy.  → Read this to understand departments’ responsibilities for implementing specific internal controls to ensure proper procurement, safeguarding and monitoring of computer equipment (workstations, laptops, printers).  
  • Form:  Off-campus use of University-owned capital assets:  https://cam.fo.uiowa.edu/content/campus-use  → Use this form to report University-owned capital assets which reside off-campus.  The information you provide here will be used to update the asset location in our PeopleSoft Asset Management system. 
  • Form:  Off-campus use of Government-owned capital assets:  https://cam.fo.uiowa.edu/sites/cam.fo.uiowa.edu/files/gostat_0.pdf  → Use this form to report federal capital equipment which reside off-campus.  The information you provide here will be used to update the asset location in our PeopleSoft Asset Management system.
